Live Music for Your EventSix guides for people who have never booked a band - what to book, what it costs and the rules, for every kind of event
Six guides for event organisers
Booking live music for an event is easier than ever with GigXchange: sign up free to see acts free on your date with their fees, hear them before you ask, and sign a contract on every booking. These six pages cover the events people book music for most - a wedding, a birthday party, a Christmas party, a charity event, a community event and a garden party.
You do not need to know anything about music. Every page is free to read, with fees read live from the GX Index. See everything an organiser account does on GigXchange for organisers.
I have played UK weddings, parties and fundraisers as a guitarist since 2009, and the events that went best were not the ones with the biggest budget. They were the ones where the person booking knew what the music was for, picked an act who suited the room, and had it all written down. These guides are built around those three things.
1. The guides
Every event guide in one place
Six kinds of event, every kind of act, the promoter guide for a ticketed charity night - and everything an organiser account does.

2. Celebrations
A wedding
A wedding has four musical moments - the ceremony, the drinks, the meal and the evening - and they rarely suit the same act. A 3 to 4 piece wedding band is typically £1,000 (1,615 fees) on the live GX Index. Wedding live music sets out what to book for each part of the day, and when.
A birthday party
A milestone birthday is a one-off: the act has to suit the guests, fit the room and finish on time. A 3 to 4 piece band at a private party is typically £869 (534 fees). Live music for a birthday party matches the act to the party.
A garden party
Music at home is about the space, the power and the neighbours. A private party for invited guests needs no entertainment licence (Licensing Act 2003, Schedule 1), but the council can still act on noise that becomes a nuisance. Live music for a garden party covers what works in a garden.
3. Community and causes
A charity event
At a ball, a gala or a fun day, the music has a job: it sets the mood for the auction and keeps people there long enough to give. Many acts offer a reduced fee for a cause - agree it in writing, and follow the Fundraising Regulator’s code. Live music for a charity event covers each kind of fundraiser.
A fete, fair or street party
Live music at a school, a hospital or on council land, between 8am and 11pm for up to 500 people, needs no entertainment licence when the school, hospital or council agrees to it (GOV.UK Live Music Act guidance). Live music for a community event covers outdoor slots, power and the rain plan.
4. The Christmas party
The office party or the family do
Fridays in early December are the first dates acts and venues lose, so the party that books in October gets the band it wanted. A 5 piece or bigger band at a corporate event is typically £1,337 (73 fees). For an office party, HMRC treats an annual event open to all staff as tax-free up to a set amount per head, VAT and guests included (EIM21690). Live music for a Christmas party covers when to book, late finishes and the right act for each part of the night.
5. The guides at a glance
Every guide and its live figure
Where the GX Index has a figure for the event, the page leads with it. Where it does not yet, we say so rather than guess.
| Guide | Best for | Live figure |
|---|---|---|
| Wedding live music | Couples | Wedding 3 to 4 piece: £1,000 (1,615 fees) |
| Birthday party | A milestone birthday | Party 3 to 4 piece: £869 (534 fees) |

6. Why organisers book on GigXchange
Most people book music for an event once or twice in their life. They find someone through a friend or a search, agree it on the phone, send a deposit to a stranger and hope. The things that go wrong are almost never the music - a late arrival, the wrong songs, too loud for the room, a cancellation on the day.
GigXchange takes those risks off the table. You hear every act before you ask, agree the songs, times and kit in writing, and the deposit is held safely until after the event. If the act drops out, GX Gig Rescue sends an urgent invite to available acts nearby.
Choose from 980+ artists, agree it all in the chat, and every booking makes a contract you both sign. The booking fee is 5% on top only when you pay through GigXchange – 0% when you settle privately.
