01 — How to organise a charity gig
Where to Organise a Charity Gig
GIGXCHANGE is where UK charity gig organisers book the room and the acts direct. 70 venues across 79 cities and 982 artists are on the platform. An organiser agrees the date with a venue, asks acts whether they will play for a reduced fee or free, agrees it in the chat and signs a contract on every booking. The booking fee is 5% on top only when you pay through GigXchange – 0% when you settle privately.
A charity gig is usually organised by someone who is not a promoter: a friend raising money in someone’s memory, a school fundraiser, a team doing something for a cause they care about. The goodwill is enormous - and so is the risk of an awkward night when nobody agreed who was paying for what.
The gigs that raise the most are honest with everyone: the acts know whether they are paid, the venue knows the terms, and the audience knows how much of their ticket reaches the cause.
On GigXchange the terms are agreed in writing from the start. Acts that offer a reduced fee or play for free say so in the contract, the venue’s terms sit in the same thread, and the poster and the free gig listing help fill the room - so the energy goes into raising money, not chasing details.

LiveThe price ladder
What do acts cost for a charity gig? Many play for a reduced fee or expenses. As artist-fee benchmarks on the live GX Index, a solo act at a pub or bar is typically £250 (370 fees) and a 3 to 4 piece band £350 (275 fees).
GX Index UK medians, live - ARTIST fees only, against the Musicians’ Union per-musician minimums. Room hire, sound, staff and promotion come on top and are not in these figures. Acts may agree a reduced fee for a cause - agree it in writing.

06 — The licence rules
Checked 22 October 2026What you need
Does a charity gig need a licence? In an alcohol-licensed venue, live music between 8am and 11pm for up to 500 people needs no extra licence; a one-off event outside a licence needs a temporary events notice.
| England and WalesOne-off events: a TENFor an event outside your licence: fewer than 500 people at all times, including staff, up to 7 days. Give the council at least 10 clear working days' notice (a late TEN: 5). One premises can have up to 15 a year, 21 days in total. | |
| UKYou still need TheMusicLicenceThat is permission to hold the event, not copyright. Playing or performing music in public needs a music licence from PPL PRS. | |
| England and WalesKeep the neighbours on sideYour council can act if noise becomes a statutory nuisance. Agree finish times and volume with the act in the contract. |
