When to Book
Wedding-specialist function bands: 9–12 months for peak Saturdays. Corporate Christmas function bands: book by early September — supply tightens sharply by mid-October. Mid-tier private parties (birthdays, anniversaries): 4–8 weeks. Last-minute (under 3 weeks) is realistic for smaller bands or weeknight slots, but the established 4–5 piece function bands at mid-to-premium tier are often booked 6+ months out for any peak date.
What Format Works
The standard format is 4–5 piece (vocals + guitar + bass + drums, optional keys or sax) playing 2 × 60–75 minute sets with DJ continuation between sets and post-band. Smaller-event variants: 3-piece acoustic-leaning function trio (£500–£900) for intimate parties; 6+ piece big-band swing arrangement (£2,000+) for black-tie corporate. The repertoire mix that works across UK function audiences (25–60 demographic): 50% recognisable pop-rock anchors, 25% soul/Motown classics, 15% modern dance-floor (10s–20s), 10% specialty (themed encore, tribute medley).
Mistakes to Avoid
1. Booking by sample track only. Function bands sound very different live than on a polished demo. Look at recent live videos and read reviews from past bookings before committing. 2. Wrong band size for the venue. A 6-piece big-band in a 100-cap room is overwhelming; a 3-piece in a 400-cap ballroom feels thin. Match the band size to the room. 3. Underestimating the agency markup. A £1,500 function band booked through an agency is closer to £1,800 — direct booking saves £300+ on most weddings and parties. 4. No setlist input. Most function bands have 200+ songs ready — share your must-plays and avoid-list 4 weeks ahead. 5. Forgetting the soundcheck slot. Function band setups need 90 minutes from load-in. 6. Skipping the contract. Verbal-only function band bookings disappear at 3x the rate of contracted ones.
